Manage attendees on Live Events

Live Events is an extension of GoFundMe Pro that specializes in event management. The two platforms work together to help you manage registrations, attendee details, and event day activity.

Tickets and registrations

Attendees will register for your event through a connected GoFundMe Pro campaign. Once you connect your campaign to a Live event, attendee information will sync between the platforms.

Important: Live Events attendees need an email address on file to access your event. For ticketed campaigns, turn on and mark required First name, Last name, and Email Address custom questions to ensure your attendees can access your event.

This is especially important for Salesforce integration customers to ensure each attendee has a unique Contact record. If your attendees don’t yet have this info for each member in their party at registration, please ask them to use placeholders. Event admins can update this information later.

Set up tickets

You can set up tickets when you first create the ticketed or registration with fundraising campaign in GoFundMe Pro.

When you need to add or edit tickets:

  1. In GoFundMe Pro, open your campaign
  2. Select the Details tab
  3. In the menu, select Tickets

From this page, select + Add to create a new ticket or select the fields directly to edit existing tickets.

Add attendees

Attendees are added to your event automatically when they purchase a ticket. To manually add an attendee that will sync back to the GoFundMe Pro campaign, go to Attendees and select + Add. Only tickets for a single attendee will be available.

Using our Salesforce integration?

Only add attendees to Live Events when you have their full details. If you need to hold a spot for someone without complete information, create an offline ticket in GoFundMe Pro Manager instead. This keeps their Salesforce Contact record accurate when you update their details later.

You can also add an attendee without charging them or to an existing group by using a free and hidden offline ticket.

Edit attendee details

You can update attendee information in either GoFundMe Pro or Live Events, and the changes will sync between the platforms.

To edit attendee information in GoFundMe Pro:

  1. In GoFundMe Pro, select Fundraising and Attendees
  2. Search for the attendee and select their Attendee ID or name
  3. Next to Attendee details, select Edit

Note: Archived attendees and attendees marked as Not attending will still sync to your connected Live event. To remove an attendee from the Live event, refund the transaction.

To edit attendee information in Live Events:

  1. In Live Events, open your event
  2. In the menu, select Attendees
  3. Search for the attendee you want to edit
  4. Select the Lightning Bolt icon
  5. Select Edit Attendee

How do I remove an attendee's event activity?

To reassign a ticket, you need first to remove the attendee's event activity. An attendee will have event activity if they are checked in, have a payment method on file, or have made any purchases, bids, or donations. Removing their activity ensures it does not transfer to the new attendee.

To undo check-in for an attendee, select Checked-in on the attendee page. Also, to remove payment methods or bidding activity, go to the attendee's cart.

Check-in

For a smooth check-in process at your in-person event, use Live Events' Check-in feature and the automated welcome message with an attached QR code.

Welcome message

When turned on, the welcome message will automatically be sent to attendees when they register for your event. This message includes a QR code for check-in and a calendar invite.

Mobile check-in

On the day of your event, use the mobile check-in feature to scan QR codes and complete check-in quickly.

Mobile check-in is in the Onsite Tools drop-down menu. 

How many check-in staff should I plan for?

We recommend a ratio of one check-in staff for every 50 attendees. For example, if you have 200 attendees, plan on at least four staff members at check-in.

Delete attendees

  1. In your Live event’s menu, select Attendees
  2. Search for the attendee(s) and select the checkbox next to their name
  3. Select Delete

After the attendee is deleted, you still need to refund the transaction to delete the attendee record in your GoFundMe Pro account.  

Refunds

To issue refunds for registrations, auction purchases, or donations, you’ll need to go to your GoFundMe Pro account. After you refund attendee registrations, you can remove the attendee from your event and they will no longer sync into your event.

Note: If your organization doesn't use GoFundMe Pay and instead uses a separate Stripe account as your payment solution, you’ll need to go to Stripe to issue refunds.

Frequently asked questions

I've allowed external bidders to access my auction. Do they function the same as attendees?

External bidders only need to provide their name and email address to bid and buy items in your auction. They will not have an Attendee ID like regular attendees. Additionally, you cannot edit the details of an external bidder and they will not sync to Salesforce integration.

If an attendee purchases a ticket with the same email address as an external bidder, those two attendee profiles will be automatically merged. Currently, there is not way to manually merge attendee profiles.

I have multiple attendees from the same group that are bidders. Can I merge their bidder numbers?

Currently, bidder numbers for attendees cannot be merged.

Does an attendee's Archived status or RSVP status sync from GoFundMe Pro into Live Events?

Not at this time. Archived attendees and attendees that are marked as 'Not attending' will continue to sync to Live Events. You need to refund the transaction to remove the attendee from your event.

Can I refund a $0 (free) ticket?

No, you cannot refund tickets or registrations that cost $0 or were free with a promo code. Please reach out to our Care team to help with the refund.
