Table and seating management
Table and seating management is part of the Live Events Auction and Plus subscriptions. If you want to add this feature to your subscription, contact your CSM. If you don't know who to contact, reach out to our care team.
To use the Seating feature in your event, ensure it is turned on in your event's Details.
With Live Events' Seating feature, you can create a layout of your event's table arrangement and plan seating for your attendees. To create tables, add attendees to specific tables, and more, go to Seating in the event's menu.
Add tables
To add tables to your event, select + Add Table. A pop-up will appear to enter the table name and select the number of seats at the table. The maximum number of seats at a table is 15.
Add attendees to tables
To add your attendees to a specific table and seat, drag and drop the attendee from the attendee list to the table and seat. You can also select an already seated attendee to mark them as Table Captain or Remove them from the table.
Filter and sort attendees
When searching your list of attendees, select Filters to quickly find and seat your attendees. You can also search for attendees by Attendee ID, Transaction ID, Groups, and Registration Type.
Note: You cannot filter and sort at the same time.
Edit tables
To make changes, select the table you want to edit. Options will appear to Update Table Settings, Fill Empty Seats, Unseat All Attendees, Reorder Attendees, and Delete Table.
Bulk edits and other options
To make bulk edits to your seating arrangements, select Options. A dropdown menu appears to Seat All Attendees, Unseat All Attendees, Reorder Tables, Export an Excel file or Print a complete list of the tables with the names of the attendees.
Show questions
You can show specific attendee information when you hover over a seated attendee. Select up to 4 profile or custom question responses to display on hover.
To do so:
- Select Show/Hide Questions
- Select the Attendee Questions or Custom Questions tab
- Next to the question response you want to display, select the checkbox
- When you're finished, select Update Fields
You can click and drag to adjust the order of questions displayed and select the X to remove a question. Now, when you hover over a seated attendee, you'll have their responses displayed.
